  E-mail Upgrade Project - Exchange Terms and Definitions   

This page provides a quick reference to a number of the new terms you will see being used with the new e-mail, calendaring and collaboration service.
  • POP: Setting up your email for POP will have your client download the messages to your computer and store them locally. By default POP removes the messages from the server unless you set it to leave a copy on the server.
     

  • IMAP: If you have your client setup for IMAP it will download just the headers of your email and leave the message on the server. This allows you to check your email in multiple locations as well as maintain folders on the server.
     

  • Exchange - The University will be using Microsoft's Exchange Server product to provide e-mail, calendaring and collaboration services.
     
  • Groupware - Software providing all-in-one functionality for e-mail, calendaring, task management, contact management, etc. with the ability to share between others in an organization.
     
  • Outlook - Microsoft's desktop client for Windows
     
  • Entourage - Microsoft's desktop client for the Mac OS
     
  • OWA - stands for "Outlook Web Access".  This is the tool used to access web services through a web browser.
     
  • OMA - stands for "Outlook Mobile Access".  This is a simplified web interface available to mobile users with smartphones and simple web browsers.
     
  • ActiveSync - Microsoft software tool for syncing a Windows Mobile device
     
  • MAPI - Messaging, or Mail, Application Program Interface.  This is primarily a term used for Microsoft's native Outlook access.  This setup is the default Microsoft Exchange setup for Outlook access. It allows for mail, calendaring, public folders, tasks, a global address list of all exchange users as well as many sharing options to give and receive access to other Exchange users.
     
  • RPC over HTTPS - This functionality provides a secure mechanism for a MAPI client to connect to e-mail services.
     
  • Blackberry - All-in-one phone and messaging solution provided by the company Research In Motion (RIM).
     
  • Content Sharing - the ability to assign permissions to any e-mail, calendar or exchange resource and have another exchange user view it.
     
  • Free/Busy - calendar information used to determine when another user is available to schedule an appointment.
     
  • Contact Management - managing your address book and contact lists
     
  • Global Address List (GAL) - University wide directory of users available through Outlook or OWA.
